Privacy Policy

Who We Are
McNaire Underwriters LLC (“McNaire,” “we,” “us”) is a professional services firm located in the United States. This Privacy Policy describes how we collect, use, and protect information about individuals who interact with our business, including clients, vendors, and other parties who receive communications or shared content from us.
Information We Collect
We may collect the following categories of information depending on how you interact with us:
- Contact and identity information — your name, email address, phone number, and business affiliation
- Communications data — records of correspondence, inquiries, and documents exchanged with us
- Access and activity data — when you access content or systems we share with you, a record of that access including timestamp, IP address, and actions taken
- Professional and financial information — information relevant to the underwriting, claims, or advisory services we provide to you or on your behalf
How We Use It
We use collected information to:
- Deliver and administer services to our clients and partners
- Communicate with you about matters relevant to our business relationship
- Verify the identity of individuals accessing shared documents or systems
- Maintain audit and compliance records as required by applicable regulations
- Protect the security of our systems and the information entrusted to us
We do not sell personal information. We do not use your information for advertising or any purpose unrelated to our business relationship with you.
External Document Sharing
When we share documents with you electronically, access is managed through the Microsoft 365 platform. Microsoft creates a guest access record on our behalf that includes your email address and a log of your activity on the shared content. This is a one-time process per recipient. You may request removal of this record at any time using the contact information below.
Third-Party Processors
We use the following third-party platforms to operate our business. Each acts as a data processor on our behalf and is bound by appropriate data processing terms:
- Microsoft 365 — email, document storage, and file sharing (Microsoft Privacy Statement)
- Other vendors — as required to deliver our services, subject to confidentiality and data protection obligations
Data Retention
We retain personal information for as long as necessary to fulfill the purpose for which it was collected, or as required by law. Access logs and guest records related to document sharing are retained for a minimum of 90 days and deleted when no longer needed.
Your Rights
You may request access to, correction of, or deletion of personal information we hold about you. We will respond within 30 days.
